Yes, simply click on Pay Bill in the site navigation menu. You will need to know your account number and total balance due to complete the online form and make your payment.

Most services are covered, but we do recommend contacting your insurance company to verify your plan benefits. You can also ask:

• Does your health plan require an assigned PCP (for example, an HMO)? If yes, verify that an Arbor Pediatrics provider is your assigned PCP. This usually will populate on your Member ID Card.

• Are there any limits on preventive care? How does it differ from coverage for sick visits?

• Do I have a co-pay or deductible?

• Do I have additional responsibility for services provided after hours?

Our offices are open for well and sick care from 8 AM to 5 PM, Monday through Friday, with select offices open on Saturday for weekend care. All office hours are listed on our Locations page.

Yes, as an Arbor Pediatrics patient, your child can visit any of our 14+ locations. For instance, if you live in Phoenix but your child gets sick in Scottsdale, you can schedule an appointment at the closest Arbor Pediatrics location — even if it’s not the one you usually visit. We do recommend picking one location as your home office where your primary provider is based.

It’s always best to schedule an appointment ahead of time or call ahead for a same-day sick visit. Most of our offices reserve same-day appointment slots for children who need immediate care. We can also direct you to the Arbor Pediatrics location in your area with the earliest possible appointment.

Existing patients can schedule a well or sick visit online minus the exceptions below*. Please note that you must type in your child’s name exactly as it appears in our records to be able to schedule an appointment — please do not use any nicknames or alternate names.
*Types of visits that cannot be scheduled online:

• Any visits for an infant less than 2 months old

• First evaluation for ADD or ADHD

• Pre-operative clearance

• Injuries, such as broken bones or sprains

• Respiratory distress

• Shot-only or lab-only visits

You can schedule a shot-only appointment by calling our office.

You can schedule well visits up to one year ahead of time.

Life is busy — we get it. Arbor Pediatrics strives to get you in and out of the office ASAP without compromising the level of care we provide. The best times to schedule your visit are early in the morning or immediately after lunch. But if we have a lot of sick visits or emergencies that day, you may wait longer than usual. Don’t have a provider preference? You are welcome to request a “first available” appointment.

Yes, we see all sick children on the same day if possible. Every attempt will be made to schedule an appointment with your primary provider or another provider at your home office. If no appointments are available, we may offer an appointment at another Arbor Pediatrics location or a virtual telehealth visit. Please do not walk in without an appointment.

If your child is experiencing a life-threatening emergency, dial 911. Otherwise, if your child is sick, call your primary office for after-hours care. An agent will ask questions to determine the urgency of your problem and then connect you with an Arbor Pediatrics clinician. Many issues only require at-home care or a telehealth visit, followed by an in-person visit with your primary office when necessary.

Evening assistance is available for all Arbor Pediatrics patients. If your child has a medical problem that requires urgent treatment, you will be routed to a clinician who is trained to answer your questions and provide assistance by phone.

Consider writing down the following information, so you can refer to it during your call:

• Your child’s age

• Your primary concerns

• How long the symptoms have been going on and if they are getting worse

• Anything you have already done to treat your child’s condition

• Your child’s temperature

• Your child’s intake of fluids and output of urine and stool

• Your child’s alertness (if you are concerned about lack of responsiveness, call 911 for emergency care)

We will also ask for your phone number so you can be called back if necessary.

Yes, all Arbor Pediatrics offices have separate sick and well waiting areas. Please follow the posted signs and sit in the appropriate section.

Our providers are on staff at many of Arizona’s leading hospitals. You can view the list on the Hospital Affiliations page in our Knowledge Center.

If your child is admitted to a hospital where our providers have been granted privileges, one of our affiliated hospitalists will visit your child and keep your pediatrician informed on their condition. A post-hospital visit with your pediatrician is usually scheduled after your child is discharged. Please be sure to bring your discharge summary to this follow-up visit.

After your child turns 3, they begin getting annual checkups once a year, plus sick visits as needed. Scheduling annual checkups around your child’s birthday is a good way to remember.

• During your child’s first year of life, well visits are scheduled 3 days after birth, followed by 2 weeks, 1 month, 2 months, 4 months, 6 months, 9 months, and 12 months.

• During your child’s second year, well visits are scheduled at 15 months, 18 months, and 24 months.

• During your child’s third year, well visits are scheduled at 30 months and 36 months.

For continuity of care, Arbor Pediatrics encourages you to schedule all well visits with your primary provider. If your child comes in for a sick visit, we cannot guarantee that your primary provider will be available that day.

A well-child visit (also called a preventive or annual physical exam) is a routine appointment focused on your child’s overall health and development. It typically includes a review of your child’s medical, family, and social history; age-appropriate screenings and immunizations; developmental assessments; a physical examination; and preventive health counseling. 

A combined care visit occurs when your child’s well-child exam is combined with the evaluation of an additional medical concern during the same appointment. For example, if your child is scheduled for their annual physical but also has an ear infection, rash, or ongoing concern that needs to be addressed, both may be handled during a single visit. This is a convenience that allows your child’s provider to efficiently address concerns that might otherwise require you to schedule and attend a separate appointment. 

Well-child visits are considered preventive care and are typically covered by insurance at no cost to you. However, if your child’s provider evaluates or treats a separate medical concern during the same visit, that additional service may be billed as a problem-focused or evaluation and management visit.

This additional service may be subject to copays, deductibles, or coinsurance depending on your insurance plan. This billing reflects the additional time, medical decision-making, and complexity involved in addressing concerns beyond the preventive exam. 

Preventive services typically covered as part of a well-child visit include: a conversation about your child’s medical history (including social and family history), height and weight screening, age-appropriate immunizations (based on your plan’s coverage), developmental and behavioral screenings, a routine physical examination, and preventive health counseling such as nutrition and safety guidance. 

Additional billing may apply when your child’s provider evaluates or manages concerns beyond the preventive exam, such as new symptoms (fever, cough, rash, ear pain), chronic or ongoing conditions (asthma, allergies, ADHD), medication concerns or prescription refills, behavioral or mental health evaluations, and certain specialized screenings (autism evaluations, adolescent depression screenings, etc.) that fall outside your plan’s preventive coverage. 

Most insurance plans cover the preventive portion of a well-child visit at no cost. However, coverage for additional problem-focused services varies by plan. We recommend contacting your insurance provider directly to understand your specific benefits, including any copays, deductibles, or coinsurance that may apply to non-preventive services. 

Absolutely. If you prefer to keep your visit focused on the preventive exam only, you can let your child’s provider know. Any additional concerns can be scheduled as a separate follow-up appointment. However, many families find it more convenient to address everything in one visit rather than making an additional trip to the office. Your provider will always prioritize your child’s health and safety, so if a concern requires immediate attention, they will discuss this with you.

A telehealth visit is a video conference with an Arbor Pediatrics provider that can often replace an in-office visit, based on certain qualifying conditions. Ask your Arbor Pediatrics office for more details.

Arbor Pediatrics provides virtual telehealth visits on Monday–Friday from 3 PM to 8 PM.

Yes, our clinicians can often treat minor illnesses, injuries, and other health concerns virtually. We begin the visit by asking specific questions about your child’s medical history, then observe your child via video. In many cases, this process is enough to make a diagnosis and create a treatment plan. Your virtual clinician also has access to all your child’s medical records and can prescribe them medication.

If your child needs an in-person visit for any reason, Arbor Pediatrics will help you schedule one to ensure your child gets a complete and comprehensive evaluation.

It’s best to conduct the visit in a private, quiet, and well-lit area with a stable internet connection. Put any pets in another room and turn off the TV to minimize any distractions. For your safety, you should never conduct a telehealth visit from a moving vehicle.

You can prepare the same way that you would for an in-office visit, jotting down your questions or concerns ahead of time. We recommend logging on a few minutes early in case you have any technical issues. Your child (the patient) must be present for the visit. Please also have your child’s medication list and any other pertinent information handy.

Yes, you will receive a text message and an email confirming your child’s appointment details, including the date, time, and instructions for joining the virtual visit.

Telehealth visits are conducted via videoconferencing after calling your preferred Arbor Pediatrics office to schedule your appointment. Existing patients are not required to pay any fees in advance. Your insurance company will be billed first and then you are responsible for any portion the insurance company does not cover. For self-pay patients, a telehealth visit costs $59.

If Arbor Pediatrics has not already seen your child for the condition you want a referral for, you must schedule an appointment first. If you want a referral for a condition your child has already been seen for, visit the patient portal to make your request. The office will contact you when your referral is ready, usually within 5-7 business days.

Contact your Arbor Pediatrics office and tell us what medication needs to be refilled and the phone number for your pharmacy.

Parents and requesters must use VitalChart’s Online Request Portal to submit a request for medical records. Patients and requesters usually receive records within a 24 to 48-hour timeframe after submission. VitalChart provides bilingual customer service for patients and requesters who need assistance using the request portal, checking the status of the records, and more. Contact the VitalChart customer service line at 972-399-0914 or pediatricassociatesAZ@vital-chart.com.

Paper requests can still be made in the office by downloading our Medical Records Request Form. All offices not currently utilizing VitalChart will continue their usual process.

Please contact your Arbor Pediatrics office to make your request. Your form will be completed within 3-5 business days.

Contact the physician’s office you are transferring from and ask for your child’s records to be released to the Arbor Pediatrics office you are moving to.

You can schedule and manage appointments, access your child’s medical records (including visit summaries, vaccines and immunizations, lab results, medications, and referrals), pay your bill, and more — all in one convenient place.

You will receive an email from Arbor Pediatrics with a username and password that gives you access to the portal with any web browser or the smartphone app. (If you don’t see the email, please check your spam folder.) You can customize your password after your initial login.

Yes, all information stored on the patient portal is protected by industry-standard SSL encryption and the username and password/PIN number of your choice.

Go to the patient portal, click on the “Trouble logging in?” link, and follow the prompts.

To see all patients under the same account, all patients must be listed under the same guarantor. To request this change, please email portal.west@pediatricassociates.com

No, both the portal and the healow™ app are free, giving you easy access to your child’s medical records at no cost.

1. In the “Appointments” section, click “New Appointment.”

2. Select the visit reason and your preferred location.

3. You will see a list of providers working in your selected location, plus the next available appointment.

4. Select the date and time you prefer and add your appointment details.

5. A 4-digit verification code will be sent to the phone number listed on your account.

6. Enter the code, then click “Verify and Book.”

7. You will see your appointment details in the “Dashboard” section of the portal.

Click on the “Medical Records” section and then select “Immunization History.” You will have the option to print your immunization records and other medical records in this section.

In the “Messages” section, click “Refill Requests.” You will see a list of your child’s current medications. Select the medication you need and click “Refill Request.” If no refills are available, we recommend scheduling an appointment in the “Appointments” section.

A proxy account allows a designated individual to access and manage another person's health information. Parents/legal guardians typically use this account to access their child(ren)'s records.

In adherence with the Cures Act, parents/legal guardians will receive login credentials that allow them to access multiple children’s information with one single login.

Note: Patients are eligible to have access to their own portal account after age 12, depending on state regulations.
